ABOUT TRAFALGAR CINEMA

The Chiswick Cinema is an independent cinema in the heart of Chiswick and a first cinema-site for its owners, Trafalgar Entertainment. With 5 screens, a Lounge, bar, private screening room and dining/event space the cinema offers a unique and high-end customer-experience. ABOUT THIS ROLE

The Venue Administrator’s contribution to achieving Chiswick Cinema’s financial and service targets is to provide robust, cohesive, and comprehensible systems of administration, HR, and internal communication. The administrator post is at the heart of the venue’s relationships with the wider Trafalgar Entertainment Group and is the conduit for critical information between internal and external stakeholders.

You will be reporting to the Operations Manager of the venue.

The role is part time, 20 hours per week.

KEY RESPONSIBILITIES

Responsibility for disseminating information on policy and procedures, reports, meeting notes, as required by the Operations Manager.
Provide general administrative support to the Theatre Director and senior management team as required.
Responsible for disseminating information on company updates, policy and procedures maintenance of HR files (holiday and sickness records for all staff), new employee offer-letters and contracts, and supporting the induction process for all new starters.
To attract, hire, and retain top talent and support recruiting managers as needed with staff engagement, including advertising, references, and right-to-work checks, while ensuring compliance with regulations.
Under the guidance of the payroll department, maintain and submit all required payroll information, ensuring all venue staff are paid accurately and on time.
Ensure current employment legislation, statutory obligations and procedures are always adhered to, in liaison with and under the guidance of the Company’s payroll and HR managers.
Control of budget lines for the Administration Department, including training, office equipment, postage, and uniforms; monthly reconciliation and management of company credit card usage.
Every month, support the management team in gathering information from appropriate sources to create board reports.
Undertake training and development relevant to successfully executing the job role.
Coordinate the training provision and the maintenance of staff training records and the Health and Safety Portal in liaison with the Senior Management Team
Support managers in disseminating, implementing, and promoting Company and local health and safety procedures and best practices.
Ensure that Display Screen Equipment assessments are undertaken annually and that identified actions and reasonable adjustments are followed through in liaison with line managers.
